Terms & Conditions
These terms explain how studio hire bookings are arranged, what customers can expect from our facilities and the responsibilities that apply when using our spaces.
Effective immediately
Using Our Website
By accessing or using the MoveSpace Studio Hire website, you agree to use it responsibly and in accordance with these Terms & Conditions.
The website provides information about our studio hire arrangements and allows visitors to submit enquiries about available spaces, facilities and booking times.
You must provide accurate information when using our enquiry forms or contacting us. You must not use the website to submit misleading requests, interfere with its operation or attempt to access information or systems without authorisation.
If you do not agree with these terms, please do not use the website to arrange a booking.
Studio Hire Services
MoveSpace Studio Hire provides studio rental facilities for dance teachers, choreographers, rehearsal groups and independent performers.
Depending on the individual space and the arrangements confirmed, facilities may include:
- Mirrored walls for dance practice and movement sessions.
- Suitable flooring for rehearsals and studio-based activities.
- Sound equipment for music and practice sessions.
- Studio space available for hourly hire or agreed time slots.
- Facilities intended for individual practice, group rehearsals and organised dance activities.
Facilities, dimensions, equipment and permitted uses may vary between spaces. Customers should check the details of the specific studio before confirming a booking.
Booking Enquiries
Customers can contact us through the website to enquire about studio availability, hire durations and booking requirements.
An enquiry is a request for information and does not automatically reserve a studio or guarantee a particular date or time.
We will review the requested arrangements and respond with the availability and relevant hire details. A booking becomes confirmed only after the details have been agreed and written confirmation has been provided.
Customers should check the confirmation carefully, including the date, start time, end time, studio requirements and agreed price. Any errors should be reported before the booking takes place.
Advance Booking Requirements
All standard studio hire requests must be submitted at least 24 hours before the intended start time.
- Same-day bookings are not accepted.
- Requests submitted less than 24 hours before the intended start time cannot be treated as standard booking requests.
- Submitting an enquiry in advance does not guarantee availability.
- Bookings remain subject to studio availability and written confirmation.
- Customers should wait for confirmation before making arrangements that depend on the studio being available.
We recommend contacting us as early as possible, particularly when requesting recurring sessions, longer hire periods or specific studio facilities.
Prices and Hire Arrangements
Studio hire prices are communicated through the relevant service information or directly during the booking enquiry process.
The price confirmed for a booking will depend on the selected studio, hire duration, requested facilities and any other arrangements agreed before confirmation.
- Prices will be communicated before the booking is confirmed.
- Any additional charges must be explained and agreed before they are applied.
- Customers will be informed if a requested change affects the original hire price.
- Any agreed price adjustment will be confirmed in writing.
We will not introduce undisclosed additional charges after a booking has been confirmed, except where an additional charge arises from a separately agreed change or a reasonable, properly supported claim for customer-caused damage or loss.
Payment Arrangements
Our website is used to provide studio information and receive booking enquiries. Online payment is not processed directly through the website.
Once the requested studio hire details have been reviewed and agreed, we will communicate the payment information and relevant booking arrangements through our official communication channels.
- Payment instructions will be provided after the booking details have been discussed.
- The accepted payment method will depend on the agreed service arrangement and will be explained before payment is requested.
- Customers should only make payments using the details provided through our official communication channels.
- Any applicable payment deadline will be communicated as part of the booking arrangement.
- A booking is not considered fully confirmed until the required confirmation steps have been completed.
Customers should contact us directly if they receive payment instructions that appear inconsistent with the information previously provided.
We will communicate any applicable payment conditions clearly before the customer commits to the booking.
Cancellation and Refunds
Customers who need to cancel a confirmed studio hire booking must contact us through an official communication channel. Refund eligibility is determined by the amount of notice received before the scheduled booking start time.
The notice period is calculated using the scheduled local start time. The date and time our official communication channel receives the written cancellation request will be used to determine the applicable refund rate.
No standard refund is normally provided for a no-show, early departure or a cancellation made on the booking day. These conditions remain subject to any statutory rights that apply.
Where a refund is approved, we will normally initiate it within 5 working days after confirming the amount due. Depending on the payment provider or financial institution, the funds may take a further 5 to 10 working days to appear in the customer’s account.
Customers should allow approximately 10 to 15 working days from refund confirmation for the funds to appear. Any applicable statutory refund deadline will take priority over this estimated processing period.
If we cancel a confirmed booking and cannot provide a suitable alternative agreed by the customer, the amount paid for the affected booking will be refunded in full.
Further details are available in our Cancellation & Refund Policy.
Changes and Rescheduling
Customers who need to change a confirmed booking should contact us as early as possible. Requests to change a date or time should normally be made at least 24 hours before the original booking start time.
- All changes are subject to availability.
- A change is not confirmed until we have agreed to it in writing.
- Different dates or durations may have different hire prices.
- Any price difference will be explained before the revised arrangement is confirmed.
- If a suitable alternative cannot be agreed, the customer may retain the original booking or request cancellation under the applicable policy.
Customers should not assume that a requested change has been accepted until written confirmation has been received.
Arrival and Use of Booked Time
Customers should arrive in good time to make use of their confirmed hire period. The booking begins and ends at the times stated in the confirmation.
- Arriving late does not automatically extend the booked end time.
- Customers should finish their activities and leave the studio by the agreed end time.
- Additional time must be requested and approved in advance or, where possible, before the existing hire period ends.
- Any additional hire time is subject to availability and may involve an additional charge.
- Customers must not remain in the studio beyond the agreed period without permission.
We cannot guarantee that additional time will be available after a booking has started.
Customer Responsibilities
Customers are responsible for ensuring that the studio is used appropriately throughout the hire period. This includes the behaviour of everyone attending under their booking.
- Provide accurate information about the intended use of the studio.
- Ensure the number of attendees does not exceed any agreed limit.
- Use the space only for the activity agreed during the booking process.
- Follow reasonable instructions relating to access, equipment and studio use.
- Keep the studio reasonably clean and orderly.
- Respect other users, neighbouring properties and any applicable building rules.
- Remove personal belongings and rubbish when leaving.
- Report any accidental damage, equipment problems or safety concerns promptly.
Customers must not use the studio for activities that are unlawful, create unreasonable disruption or are inconsistent with the agreed purpose of the hire.
Studio Facilities and Equipment
Facilities and equipment vary depending on the studio and the specific hire arrangement. Any facilities included in a booking will be described or confirmed before the booking is finalised.
Customers must use all equipment carefully and only for its intended purpose. Equipment must not be moved, disconnected, adjusted or removed without permission where doing so could cause damage or affect other users.
If equipment does not appear to be working correctly, customers should stop using it and notify us. Customers must not attempt repairs or modifications themselves.
We cannot guarantee that every facility will be available in every studio. Customers should confirm any essential requirements before making a booking.
Damage, Loss and Additional Charges
Customers are expected to take reasonable care of the studio, its fixtures and any equipment made available during the hire period.
If damage, missing equipment or exceptional cleaning is caused by a customer or someone attending under their booking, we may seek reasonable compensation for the resulting loss.
- Any reported damage will be reviewed based on the available information.
- Where appropriate, we may request photographs or other relevant details.
- Any proposed charge will be explained and supported by reasonable evidence of the loss or cost.
- Customers will be given an opportunity to discuss a disputed charge.
Ordinary wear and tear will not be treated as customer-caused damage. We will not impose arbitrary or unexplained charges.
Health and Safety
Customers must use the studio in a careful and responsible manner and take reasonable steps to protect themselves and other attendees.
- Check that the studio is suitable for the planned activity.
- Use the flooring and equipment appropriately.
- Keep entrances, exits and access routes clear.
- Avoid overcrowding and activities that exceed the agreed use of the space.
- Follow reasonable safety instructions provided for the premises.
- Notify us promptly of hazards, accidents or equipment faults.
Customers are responsible for arranging appropriate supervision for their group and ensuring that participants are suitable for the planned activity.
If an activity creates an immediate safety concern, we may require it to stop until the issue has been addressed.
Prohibited Activities
The studio must not be used for activities that could damage the premises, compromise safety or interfere unreasonably with others.
Unless we have expressly agreed otherwise in writing, customers must not:
- Use the studio for unlawful activities.
- Carry out activities that are materially different from the agreed purpose of the booking.
- Smoke or use prohibited substances inside the premises.
- Bring hazardous materials or items that create an unreasonable safety risk.
- Make structural changes, attach items to walls or alter fixtures without permission.
- Cause excessive noise or disruption beyond the agreed use of the premises.
- Sublet, resell or transfer the booking without our written permission.
- Use the studio in a way that breaches applicable laws or building requirements.
If a prohibited activity is identified, we may take reasonable steps to protect the premises and those present, including requiring the activity to stop or ending the hire where necessary.
Cancellation by Us
We may occasionally need to cancel or change a confirmed booking due to circumstances affecting the availability, safety or operation of the studio.
Reasons may include essential maintenance, unexpected equipment issues, access restrictions, damage to the premises or other circumstances that prevent us from providing the agreed space.
Where possible, we will notify the customer promptly and explain the available options.
If we cannot provide the confirmed studio hire and the customer does not agree to an alternative arrangement, we will refund the amount paid for the affected booking in full.
Liability and Disclaimer
Customers are responsible for assessing whether the studio, its facilities and the agreed arrangements are suitable for their intended activities.
To the extent permitted by law, we are not responsible for:
- Loss or damage to personal belongings brought onto the premises or left unattended.
- Disruption resulting from a customer’s failure to provide accurate information or follow reasonable instructions.
- Losses arising from the actions or omissions of customers or other attendees.
- Events outside our reasonable control that prevent or delay the provision of the agreed hire.
- Indirect or consequential losses that could not reasonably have been anticipated when the booking was made.
Customers are responsible for their own belongings and for ensuring that everyone attending under their booking uses the studio responsibly.
We will take reasonable care in providing the agreed studio hire facilities and responding to reported issues. Where a service is not provided as agreed, customers may have rights to an appropriate remedy under applicable law.
Important legal protection: Nothing in these terms excludes or limits liability where doing so would be unlawful. This includes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, and any statutory rights or remedies that cannot legally be excluded or restricted.
Events Outside Our Control
We will not be treated as having failed to meet an obligation where performance is prevented or materially affected by circumstances beyond our reasonable control.
Such circumstances may include severe weather, flooding, fire, utility interruptions, unexpected building restrictions, public emergencies or other events that could not reasonably have been prevented.
If such an event affects a confirmed booking, we will contact the customer where reasonably possible and discuss available options.
Where we cannot provide the agreed hire, any refund or alternative arrangement will be handled fairly and in accordance with applicable law and the relevant booking terms.

If you have a concern about a booking, studio facility, payment arrangement or customer service matter, please contact us with the relevant booking details.
We aim to acknowledge complaints within 3 working days and provide a substantive response within 10 working days.
If further investigation is needed, we will explain the reason for the delay and provide an updated response timeframe.
We encourage customers to contact us directly so that we have an opportunity to understand and resolve the matter.
