Consultation Booking Terms
We want every studio booking to be straightforward and properly arranged. These terms explain how enquiries, reservations, payments and changes are handled when hiring a studio through MoveSpace Studio Hire.
Effective immediately
Booking Enquiries
All studio hire requests must be submitted through our official website contact form or another communication channel provided by MoveSpace Studio Hire.
When making an enquiry, please provide your preferred booking date, start time, expected duration, number of attendees and any specific studio requirements. This helps us check availability and identify a suitable space.
Submitting an enquiry does not automatically reserve a studio. Your requested time slot will only be treated as confirmed once we have reviewed the details and sent you confirmation through our official communication channels.
Advance Booking Requirements
All studio bookings must be requested at least 24 hours before the intended start time.
- Same-day bookings are not accepted.
- Requests submitted less than 24 hours before the intended start time cannot be accommodated.
- Bookings are subject to studio availability and confirmation.
- Customers should allow sufficient time for their enquiry to be reviewed and the arrangements to be agreed.
For example, if you wish to hire a studio at 3:00 pm on Friday, your enquiry must be submitted no later than 3:00 pm on Thursday. We recommend contacting us earlier where possible, particularly for longer sessions or specific studio requirements.
The 24-hour minimum is a booking requirement and does not guarantee that a particular studio or time slot will be available.
Availability and Booking Confirmation
Studio availability can change throughout the week. We review each request individually and confirm the available space, agreed rental period and applicable charges before finalising a booking.
A booking is considered confirmed only after the customer has received written confirmation from MoveSpace Studio Hire and completed any agreed payment arrangements.
Customers should check all confirmation details carefully, including:
- The confirmed studio or rental space.
- The booking date and agreed start and finish times.
- The total rental charge and any agreed additional costs.
- Any specific access instructions or studio conditions.
If any details are incorrect, please contact us promptly. We will review the matter before the scheduled hire wherever reasonably possible.
Payment Arrangements
Payment arrangements are confirmed after the studio requirements, requested time slot and applicable rental charges have been reviewed.
MoveSpace Studio Hire does not process online payments through this website.
Once the studio hire details have been agreed, customers will receive payment information and booking instructions through our official communication channels.
Available payment methods may vary depending on the booking arrangement and customer requirements. The accepted payment method, amount due and payment deadline will be explained before the booking is finalised.
- Customers should follow the payment instructions provided in their booking correspondence.
- Where advance payment is required, payment must be completed by the stated deadline.
- A booking may be released if the agreed payment is not received by the specified deadline and no alternative arrangement has been agreed.
- Any additional charges must be discussed and agreed before they are applied.
Please contact us if you need clarification about a quoted amount or payment arrangement before proceeding.
Rental Prices and Included Facilities
Studio hire prices depend on the selected service, requested duration, available space and agreed booking arrangements.
Any prices displayed on our website are subject to the specific terms shown alongside the relevant service. Where a price is described as a starting rate or per booking, the final amount will be confirmed before the reservation is agreed.
Studio facilities may include mirrored walls, suitable flooring and sound equipment. However, facilities vary between individual spaces and should not be assumed to be available in every studio.
Customers should tell us about any essential facility requirements when submitting their enquiry. We will confirm which features are available in the proposed space before the booking is finalised.
No additional equipment, services or facilities are included unless they have been expressly agreed as part of the booking.
Cancellations by Customers
If you need to cancel a confirmed booking, please contact us in writing as soon as possible. Cancellation requests should be received before the scheduled start time.
Any cancellation charge or refund entitlement will depend on the cancellation terms agreed for the particular booking and the applicable consumer protection requirements.
- Where a booking-specific cancellation policy has been provided, the agreed terms will apply.
- Where no separate cancellation arrangement has been agreed, we will review the circumstances and explain any applicable charges before processing the cancellation.
- Any eligible refund will normally be arranged within 14 days after the refund has been approved.
- Refunds will normally be returned using the original payment method where practicable, or another agreed method where necessary.
If you are unsure about the cancellation terms for your booking, please contact us before confirming the reservation.
Changes and Rescheduling
We understand that plans can change. If you need to amend a booking, please contact us at least 24 hours before the scheduled start time.
Requests to change the date, time, duration or selected studio will be considered subject to availability.
- Any revised date or time must be confirmed by MoveSpace Studio Hire.
- Changes to the rental duration may affect the total price.
- Changes requiring a different studio may be subject to different facilities or rental charges.
- A revised booking is not confirmed until written confirmation has been provided.
We cannot guarantee that an alternative time slot will be available. If a suitable alternative cannot be arranged, the original booking’s cancellation terms will apply.
Late Arrival and Studio Access
Customers should arrive at the agreed access time and allow sufficient time to enter the studio and prepare for their session.
- The booked rental period begins and ends at the times stated in the confirmation.
- Late arrival does not automatically extend the booking period.
- Customers must leave the studio by the agreed finish time.
- Any request to extend a session must be approved in advance and is subject to availability and any additional charge.
If you expect to arrive late, please notify us as soon as possible. We will advise whether any adjustment can be accommodated.
Access arrangements and any relevant entry instructions will be provided through the booking confirmation or subsequent communication.
Customer Responsibilities
Customers are responsible for using the hired studio appropriately and ensuring that everyone attending understands the agreed rental conditions.
During the hire period, customers must:
- Use the studio only for the purpose agreed at the time of booking.
- Respect the premises, equipment, fixtures and facilities.
- Follow any reasonable instructions relating to studio access and use.
- Keep the studio reasonably clean and leave it in an orderly condition.
- Avoid causing unnecessary disturbance to neighbouring occupants or other users.
- Ensure that the number of attendees does not exceed the agreed room capacity.
- Report any damage, equipment problems or maintenance concerns promptly.
Customers must not use the premises for activities that have not been agreed or that are inconsistent with the intended use of the studio.
Studio Equipment and Facilities
The facilities available depend on the individual studio and the details confirmed at the time of booking.
Where equipment such as sound systems or other studio facilities is included, customers should use it carefully and follow any instructions provided.
- Equipment must be used for its intended purpose.
- Customers should not move, adjust or disconnect installed equipment without permission.
- Any equipment fault should be reported promptly.
- Customers must not remove studio property from the premises.
We cannot guarantee the availability of a particular feature unless it has been confirmed as part of the agreed booking.
Damage and Additional Charges
Customers are expected to take reasonable care of the studio and its facilities throughout the hire period.
Where damage or loss occurs as a result of a customer’s actions, negligence or failure to follow the agreed conditions, we may seek reasonable compensation for the actual loss incurred, subject to applicable law.
Any proposed additional charge will be explained to the customer, with relevant details of the issue and the basis for the amount requested.
Ordinary wear and tear and issues that are not attributable to the customer will not be treated as customer-caused damage.
Changes or Cancellations by Us
Occasionally, circumstances outside our reasonable control may affect a confirmed studio booking. This may include unexpected maintenance requirements, equipment problems, access restrictions or other operational issues.
If we need to change or cancel a confirmed booking, we will contact the customer as soon as reasonably possible and explain the available options.
Depending on the circumstances and the customer’s preference, we may offer:
- An alternative available date or time.
- Another suitable studio, where available and agreed.
- A refund of any payment received for the affected booking where the service cannot be provided.
Any eligible refund will normally be processed within 14 days after the refund arrangement has been agreed.
Health, Safety and Supervision
Customers are responsible for deciding whether the selected studio is suitable for their planned activities and the people attending.
All attendees should use the premises responsibly and follow any reasonable safety instructions provided for the space.
- Customers should wear appropriate clothing and footwear for their activities.
- Personal belongings should be kept in designated or suitable areas.
- Any existing condition affecting the suitability of the studio should be considered before use.
- Children and young people must be accompanied or supervised by an appropriate responsible adult where required.
- Emergency access routes and safety arrangements must remain unobstructed.
Customers should stop using any facility that appears unsafe and notify us promptly.
Liability and Disclaimer
Studio hire involves the use of physical premises and facilities. Customers are responsible for assessing whether the space, equipment and agreed arrangements are appropriate for their intended activities.
MoveSpace Studio Hire takes reasonable care to ensure that the agreed studio facilities are available and suitable for the stated rental purpose. However, individual studio features, equipment and availability may vary.
To the extent permitted by applicable law:
- We are not responsible for personal belongings that are lost, misplaced or left unattended on the premises.
- We are not responsible for interruptions caused by circumstances beyond our reasonable control.
- Customers are responsible for ensuring that their activities are appropriate for the selected studio and comply with the agreed booking conditions.
- We are not responsible for losses arising from inaccurate information supplied by customers or failure to follow reasonable studio instructions.
Nothing in these terms excludes or restricts liability where doing so would be unlawful. This includes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.
Nothing in these terms affects any statutory rights that customers may have under applicable UK law.
Events Beyond Our Control
We will not be considered responsible for a failure or delay in fulfilling a booking obligation where the cause is genuinely beyond our reasonable control.
Such circumstances may include severe weather, unexpected building access restrictions, utility interruptions, public authority requirements or other unforeseen operational events.
Where an event affects a confirmed booking, we will make reasonable efforts to inform the customer and discuss an appropriate alternative arrangement.
Any payment already made for a service that cannot be supplied will be handled in accordance with the applicable booking agreement and legal requirements.
Complaints and Customer Support
If you have a concern about an enquiry, booking, payment arrangement or studio hire experience, please contact us with the relevant booking details.
We aim to acknowledge customer complaints within 3 working days and provide a substantive response within 10 working days wherever reasonably possible.
If further investigation is needed, we will explain the reason for the delay and provide an estimated response timeframe.
We encourage customers to raise concerns promptly so that we have a reasonable opportunity to review and resolve the matter.
Privacy and Customer Information
Information provided during the booking process is handled in accordance with our Privacy Policy and applicable UK data protection legislation.
We use booking details to check availability, communicate with customers, manage studio hire arrangements and maintain necessary business records.
Customers should ensure that the information supplied in an enquiry is accurate and up to date. Please contact us if any booking details need correcting.
Applicable Law
These booking terms are governed by the laws of England and Wales, subject to any mandatory consumer protection provisions that apply to the customer.
Any dispute relating to a studio rental arrangement will be considered in accordance with the applicable laws and the relevant legal rights of the parties.
If any part of these terms is found to be unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
Updates to These Terms
We may update these terms when our booking procedures, studio arrangements or applicable legal requirements change.
The latest version will be published on this page and will take effect immediately upon publication.
For bookings already confirmed, any material change will not automatically alter the terms previously agreed with the customer unless the change is required by law or otherwise agreed.
